FINANCE ADMINISTRATOR JOB DESCRIPTION: St. John’s United Methodist Church 1800 Cypress Gardens Blvd SE Winter Haven FL 33884 POSITION DESCRIPTION: Date Prepared: Approved by SPRC: Finance Administrator 3/1/2025 STATUS: Part-time, Hourly HOURS: 10 - 15 Hours per week Qualification: 1. Exhibit a strong Christian faith and high integrity 2. A positive and caring attitude, excellent people skills, and a team player. 3. Be accessible, responsive, and flexible to handle the changing needs of the church. 4. Ability to handle multiple projects requiring clerical, communications, computer, and organizational skills (articulate & computer literate). 5. Because of the nature of the role, must demonstrate a high level of trust and the ability to protect the reputation and integrity of others through strict confidentiality and wisdom to refrain from indiscriminately sharing information. Responsibilities: The Finance Administrator is responsible for the management and production of all financial records related to employee payroll, accounts payable, contributions, and financial statements. 1. Prepare payroll: Process all data necessary for preparation of payroll including maintenance of payroll files for all personnel pursuant to federal requirements; preparation and distribution of payroll checks; accumulation and payment of all payroll deductions; maintenance of pension plan records; payroll tax payments; preparation and submission of W2’s. 2. Accounts Payable: Process vendor invoices for payment; obtain completed W9 forms for appropriate vendors and maintain records for same; maintain all vendor files, prepare 1099’s as required by law. 3. Contributions: Maintain contributor database; record all giving to appropriate individual records; maintain breakdown of each type of giving; prepare regular contribution statements as directed by the finance committee. 4. Financial Statements: Prepare financial reports for Operations committee chairperson, and committee; Prepare and analyze monthly financial statements for church budget, preschool, and designated funds; record all non-contribution deposits; calculate and record all journal entries; monitor cash balances; provide necessary reporting for and assist with annual audit; compile annual pledges. 5. In addition, assist with preparation of budgets; compile drafts of proposed budget to be reviewed and revised; prepare necessary reports of approved final budget 6. The recording of all income and disbursements must be done on a timely basis. At month end all bank accounts must be balanced and reconciled. All accounts must be in balance and financial reports prepared for the Operations meeting. (Operations meeting is every 3 rd Thursday, 6pm). Give verbal interpretation as needed. Prepare reports for Charge Conference and Year End Reports. 7. Other duties as may be assigned. Relationships: 1. The Staff Parish Relations Committee has the responsibility of counseling and conferring with all employees concerning his/her work and relationship to the congregation as directed by the Book of Discipline. 2. Pre-School Director

John’s UMC3/8/2025 1 ST. JOHN'S UMC - PRESCHOOL DIRECTOR The Preschool Director is overseen by the Senior Pastor. Qualifications 1. Must have at least an Associate’s Degree; Bachelor’s degree in early childhood education preferred 2. At least 2 years of experience as a lead teacher or director of a preschool, 5 years preferred 3. At least 21 years old; must have a State of Florida licensed Child Care Center Director credential 4. Out-going personality with the ability to communicate with both staff and parents 5. Able to relate well with both children and adults, have a servant's heart, and experience as well as a desire to lead the operation of a Christ-centered, faith-based preschool 6. Excellent written and verbal communication skills, conflict management skills, and computer skills 7. Valid driver's license 8. Pass background check 9. Basic First Aid and CPR certification 10. Child Youth Protection Policy (CYPP) training by FL UMC Conference or District Character Traits 1. Commitment to the vision, mission, and core values of St. John's UMC 2. Embrace Christian discipline and United Methodist doctrine and theology Responsibilities 1. Propose an annual budget 2. Supervise all teachers, aides and custodial staff 3. Work with Preschool Board as the staff representative 4. Maintain all licensing requirements, including personal credentials, federal, state and local regulations, and all United Methodist Church guided practices 5. Maintain all required paperwork for students, staff, and office files 6. Handle and supervise all administrative functions of the preschool 7. Create systems that maintain financial sustainability and self-sufficiency of the preschool 8. Work with the Pastor of Family Ministries in the administration of the preschool as is required 9. Attend meetings as required St. John’s UMC3/8/2025 2 10. Maintain all communications with the Preschool employees, church, parents and students as needed 11. Maintain quality of education, child care, and Christian education 12. Other duties as needed and established by the team 13. Live and communicate the mission, vision, and values of the church 14. Recruit, train and supervise volunteers 15. Foster relationships with parents and children, meeting each at their emotions, physical, spiritual and developmental levels, especially those with special needs 16. Work in concert with the gifts and talents of others staff members and maintain a teamwork mentality 17. Work with the Pastor of Family Ministries and the Children’s Coordinator to promote church activities and create a bridge between the preschool and the congregation.
